Privacy Policy

ShikshaPilot.in ("ShikshaPilot", "we", "us") operates the ShikshaPilot institute ERP platform and the ShikshaPilot mobile app for schools and colleges in India. This policy explains what data we collect, why we collect it, and your choices.

1. Who this applies to

This policy applies to institute administrators, staff, teachers, drivers, students, and parents who use ShikshaPilot through the website or mobile app. Institute accounts are created and managed by your institute.

2. Data we collect

• Account data: login ID, name, role, institute code, mobile number, email, and password (stored securely as a hash).
• Academic & institute records: attendance, marks, fees, transport, timetable, and other ERP data entered by your institute.
• Camera (QR attendance): the app uses the device camera only to scan QR codes for attendance. We do not store photos or video from the camera.
• Location (drivers only): when a driver starts a trip, the app collects GPS location (latitude, longitude, speed, heading) approximately every 20 seconds and sends it to your institute server so live transport maps can be shown to authorized users.
• Device & app data: app version, network requests to our servers, and security tokens for login sessions.
• Website usage data: on public pages we may collect IP address, browser type, pages visited, and cookie identifiers for security, analytics, and (with consent) advertising.

3. How we use data

• Authenticate users and provide role-based access (Admin, Staff, Student, Driver).
• Operate institute ERP features such as attendance, academics, transport, and reports.
• Show live vehicle location on transport maps during active driver trips.
• Maintain security, prevent misuse, and improve service reliability.
• Measure website traffic and marketing performance on public pages.
• Display and measure advertisements on public pages where enabled (see Section 12).

4. Background location (drivers)

Background location is used only for drivers when they tap Start Trip. Location is shared with the institute while the trip is active and stops when the driver ends the trip or signs out. Before requesting location permission, the app shows a clear disclosure explaining what is collected and why.

5. Data sharing

Data is shared only with your institute and authorized users within that institute (for example, admin, staff, students viewing their own transport). We do not sell personal data. We use trusted infrastructure providers (hosting, maps, email/SMS) only as needed to operate the service. Public advertising partners (such as Google) may receive limited device and usage data on pages where ads are shown, as described in our Cookie Policy.

6. Data retention

Institute academic and operational records are retained according to your institute's policies and applicable law. Live GPS points are used for transport tracking during trips. Historical retention is controlled by your institute configuration. Website analytics and ad measurement data are retained according to partner policies and our operational needs.

7. Security

We use HTTPS for API communication, hashed passwords, and role-based access controls. Please keep your login credentials confidential.

8. Your rights & account deletion

You may request deletion of your mobile app login account from the app profile screen or from our account deletion page. Deactivating your app account stops mobile access. Academic records held by your institute may be retained by the institute as required by law or institute policy.

9. Children's data

Student accounts are created by the institute. Parents/guardians and institute administrators are responsible for authorizing student use.

10. Google Play Data Safety (summary)

For Google Play listing purposes, ShikshaPilot may collect:

• Location — collected for driver transport tracking (not for all users).
• Personal info — name, email, phone, user IDs for login and institute records.
• Photos/Videos — not collected; camera is used only for QR scanning without storage.
• App activity — attendance and ERP actions within the institute system.

Data is encrypted in transit (HTTPS). Users can request account deletion as described above.

11. Advertising & Google AdSense (public website)

ShikshaPilot's public marketing website may display third-party advertisements, including through Google AdSense. Google and its partners may use cookies or similar technologies to serve and measure ads based on your visits to this and other websites. You can learn more at Google's Advertising Policies and manage ad personalization at Google Ad Settings. We enable non-essential advertising cookies only after you provide consent through our cookie banner, where required.
